In short: We collect account info from businesses that sign up for DesignPalm Chat, and we collect chat messages, leads, and booking details from visitors who use the embedded chat widget on our customers' websites. We don't sell data. We use a small set of trusted providers (hosting, database, email) to run the Service. This summary isn't a substitute for the full policy below.

DesignPalm Chat ("we", "us") provides an AI-assisted chat widget and booking platform for businesses, accessible at chat.designpalm.com. This policy explains what data we collect, from whom, and how it's used. It applies both to businesses that create an account ("Customers") and to people who chat with a Customer's embedded widget on their website ("Visitors").

1. Information We Collect

From Customers (businesses with an account):

  • Name, business email address, and login credentials
  • Business details you configure — contact info, services, FAQs, branding/logo
  • Billing information, once a paid plan is active (processed by Paddle, our payment provider — we don't store card details ourselves)

From Visitors (people chatting with a Customer's embedded widget):

  • Messages sent in the chat, to generate replies and let the Customer review conversation history
  • Name, email, and phone number, if voluntarily provided as a lead or booking request
  • Booking details — dates, service requested, party size — if a booking is submitted

Visitor data is collected on behalf of, and controlled by, the Customer operating that chat widget — we process it so the Customer can respond to enquiries and bookings. We don't use Visitor data for our own marketing.

Technical & usage data:

  • Authentication session cookies, to keep Customers logged into the dashboard
  • A local browser preference for sidebar display (stored on your device only, never sent to us)
  • We don't currently use third-party analytics or advertising trackers

2. How We Use Data

We use the data above to:

  • Operate the chat widget and generate responses to Visitor questions
  • Deliver booking requests and lead notifications to the relevant Customer
  • Send transactional emails (booking confirmations, account notifications)
  • Maintain and improve the Service, and respond to support requests

3. Third-Party Providers We Use

We rely on a small set of trusted providers to operate the Service:

  • Hosting & database — for storing account, conversation, lead, and booking data securely
  • Email delivery — for sending booking confirmations and notifications
  • Payment processing — Paddle, for billing once a paid plan is active
  • Optional AI features — third-party AI providers may be used for features like suggesting FAQ content from a Customer's website; this only processes publicly available website content, not Visitor chat data

We do not sell data to advertisers or data brokers.

4. Data Retention

We retain account, conversation, lead, and booking data for as long as the associated account is active, so Customers can reference their chat and booking history. If an account is closed, data is deleted or anonymized within a reasonable period, except where we're required to retain records for legal or accounting purposes.

5. Your Rights

You may request to:

  • Access the data we hold about you
  • Correct inaccurate data
  • Request deletion, where we're not legally required to retain it
  • Opt out of any marketing communications

If you're a Visitor and want data removed from a specific business's chatbot, we recommend contacting that business directly first, since they control their own chatbot's data — we'll assist as needed. Reach us at hello@designpalm.com to exercise these rights.

6. Cookies & Local Storage

We use a session cookie to keep Customers logged into the dashboard, and a local browser preference (sidebar state) stored only on your device. You can clear cookies in your browser settings, though this will log you out of the dashboard.

7. Changes to This Policy

We may update this policy as the Service evolves. Updates will be posted here with a revised date — please check back periodically.
